Effective Strategies for Sending Mass Emails: Ideal Practices to Follow

Today, no one is surprised when they receive an automated email. In fact, we all know that most emails from brands aren’t exactly unique, and we are certainly not the sole recipients of this message. This is also the reason why so many mass-sent emails often result in so little attention from the subscribers. Still, businesses are in no rush to abandon this practice, and for a good reason. After all, email marketing remains the top means of generating profit, with the highest ROI rates across all available channels.

Besides, smart practices can help brands avoid the dangers of mass email sending — both technical ones, like getting blocked, and marketing ones, like attracting little attention from the subscribers. It all goes down to seven simple steps, described below.

Clean and Update Your Email List

Ideally, mass emails should be sent only to your existing subscribers — or, at least, people who are already familiar with your brand. But it’s even more important to send emails to active email accounts — if you hit too many invalid inboxes, you risk triggering a spam alarm and blocking your IP. To avoid this, ensure your email database is clean and up-to-date by removing all inactive accounts.

Another helpful suggestion for keeping your email database up-to-date is to use professional services that allow bulk searches of contact info. But wait, stop! Shouldn’t mass emails be sent only to existing subscribers? Yes, but the real emphasis is on people who are already familiar with your brand. Some of these people may have changed their email addresses, and professional contact finders can help you access their updated information.

Other leads might have been exposed to your brand over an on-site event or conference, meaning they may not be a part of your contact list — yet. Or, you could have engaged people on social media but not included them in your email lead database — yet. A tool that supports contact lookup or email extraction from social media sites can be extremely useful in all these examples.

Whatever the case, make sure your database is as complete and up-to-date as possible. After all, the whole point of sending a mass email is to reach as many interested customers as possible, right? Well, yes and no. Rapid database expansion has a major catch, leading us to the next point.

Make sure your IP is warm

You do not need to worry about IP warmness when your business grows naturally (along with your lead database). But if you rapidly expand the database for mass email sending, you risk triggering email spam alarms. So, cleaning and updating your database once or twice a month is best. The same time interval is acceptable for increasing the number of mass emails you send out. If you do it too often, you may get flagged and blocked by your email provider, and that is definitely not what you want.

So, always set out on a mass email campaign with a properly warmed-up email IP. This also means that you cannot send out mass emails too seldom, either. Most reputable email systems store user data for a maximum of 30 days, so you have to show some regular activity, your history sends the reset button, and you risk getting blocked again.

Segment recipients, if possible

We all know that it is crucial to segment your leads, but the whole point of sending out mass emails is to save time on this chore, right? No! It’s true that, in some cases, you can send the same message to absolutely all subscribers on your list, but these cases are fewer than one might think. If, for example, you run a major e-wallet system that changes its fees for all users starting next month — yes, it is OK to send the policy update to all subscribers without any segmentation.

But if you run an online store and want to inform your subscribers about upcoming sales and discounts in a specific area, the same logic will not work. So, in most cases, you will have to segment your lead list. The segmentation for a mass email campaign doesn’t have to be too narrow, but you still need to ensure the message you send out will have some potential value for the recipients.

Have a Clear Subject line And CTA

With technical details out of the way, you can finally focus on the creative aspects of your sales manager’s responsibilities — conveying your message to the target buyers. One of the primary reasons why so many mass-sent emails end up — unopened — in subscribers’ trash folders is that they lack a catching subject line. Which, by the way, is often the message’s primary CTA, too. We’re all busy, so make it worth the subscribers’ time.

A common mistake when creating a subject line for mass emails is ignoring the email snippet — the first few lines of the text a recipient will see straight after the subject line. Make sure they go well together to hook your readers. And don’t forget to optimize both for mobile! A cup of morning coffee is an excellent incentive for sifting through one’s mail inbox — from mobile, of course.

Make Use of Visuals And Color

Suppose you have hooked the subscribers to open your email; now, the goal is to retain their attention for a bit longer. But not for too long — especially if you are marketing to Gen Y and Z with their mobile-nativeness and infamously short attention spans.

The recipients who clicked on your email already have some idea of what it’s going to be about — so don’t lose their attention and get to the point quickly. Using visuals and colors, along with short text paragraphs, is the surest way to have your message read. Short videos, when appropriate, are also nice — especially when marketing to Gen Z.

Embrace The Art of A/B Testing

Embracing the art of A/B testing in sending mass emails can significantly elevate the effectiveness of your email campaign. Instead of relying on guesswork, you can systematically test different email elements like subject lines, sender names, content, call-to-action buttons, or even sending times. By sending variations of emails to various audience segments and analyzing the response rates, you can gain valuable insights into what resonates best with their subscribers.

A/B testing helps optimize email campaigns and improve open rates, click-through rates, and conversion rates. It can help you to refine content and tailor messages based on the audience’s preferences and behaviors. Ultimately, integrating A/B testing into mass email strategies enhances engagement, fosters customer loyalty, and maximizes the ROI of email marketing efforts.

Don’t Forget The Unsubscribe Button

In today’s world of mass email marketing, the unsubscribe button is a sign of good manners and an additional chance to hook your audience. It’s not a common practice yet (so you can have a shot at it before it gets boring), but many companies are adding a final CTA next to their unsubscribe button.

The message is clear: “That’s where you can quickly unsubscribe if you want, but before you do, consider our final offer/ last sale/ amazing products, or even — take a look at this sad panda/baby seal/ puppy, etc.” Of course, a link to a video or a GIF with a sad puppy is not a classic marketing CTA, but this step appeals to users’ emotions and keeps some of them from unsubscribing. Well, at least this time — can’t keep the puppy sad, after all. And that gives marketers another chance to reach their leads later — hopefully, with a better offer because puppies are not all-powerful, no matter how sad they are.

Use a Professional Email Service Provider (ESP)

Utilizing a professional Email Service Provider (ESP) is paramount if you want to streamline your email marketing efforts. Opting for reputable ESPs such as Mailchimp, Constant Contact, or SendGrid equips you with a suite of essential features, including in-depth tracking, comprehensive analytics, and efficient unsubscribe management. These platforms offer user-friendly interfaces and customizable templates, ensuring visually appealing and engaging email campaigns.

With advanced analytics, you can assess the performance of their emails in real-time, allowing for data-driven decisions and targeted improvements. Furthermore, these ESPs comply with industry regulations, ensuring that your campaign adheres to email marketing laws and guidelines. By choosing a trusted ESP, you can enhance your email campaigns, optimize engagement, and build stronger, more responsive customer relationships.

Measure The Results

The final tip is always to measure the results of your mass campaigns — sad seals and puppies may prevent users from unsubscribing (once), but you really have to try harder next time. Besides conversions, the common analytics parameters after each email marketing campaign are open and click-through rates.

But there is always room for more data — for example, the time when most emails were opened, the way your subscriber segmentation worked, and much more — depending on your business specifics.

Following these steps should prevent your messages from ending up in the trash, but of course, there is no limit to perfection when fine-tuning your marketing efforts. A practice that never grows old is to make your messages short, to the point, and worthwhile for the potential customers. When you know how to hook each of your audience segments, you should have no problem engaging them with regular emails.




Cat in the Hat for President on Board the Carnival Pride

About a month after returning from a cruise on the Carnival Sunshine (more on that later) our family was invited to visit the Carnival Pride in Baltimore, MD for a day of fun, food, friends and fanfare.Cat in the Hat for President

We were invited to help Cat in the Hat win the Presidential Race along with Thing 1 and Thing 2 as his running mates.  In case you  haven’t noticed it’s an election year. You and your family may have noticed some commercials on television.

Along with his recent presidential announcement, The Cat in the Hat released a new book, One Vote, Two Votes, I Vote, You Vote. Perfect timing don’t you think? This book is meant to teach children why we vote, how we vote and who can vote.  Of course this is done with the whimsy and fun that other Dr. Seuss books brings to childhood literature. Carnival Cruise Lines wants kids to know they have a voice and it should be heard loud and clear.  Maybe this is why Carnival is called the Fun Ship. The kids get exactly what they want and end up having an amazing vacation.

After a loud parade led by Schwartz, an amazing brunch of Green Eggs and Ham, Froot Loop French Toast, some photo ops and chatting with old and new friends we were given the freedom to roam the boat and see how it measures up to the other ships we’ve already seen.

The Carnival Pride has recently gone through a renovation to include fan favorite dining/drinking options such as Guy Burger Joint, Red Frog Pub, Alchemy Bar, BlueIguana Cantina and more.  

What I found was a very romantic feel as soon we got above the belly of the boat. I’m not sure what was new but I fell in love with the lighting, the bold furnishings and all the hallways.  Those gave a secret, tucked away feeling.

Overall we’ve decided that the Carnival Pride is the next ship we’re boarding for a cruise. We already love cruising and with the amenities added in recent years we know we’ll  have a wonderful time.

Carnival and Carrie Underwood Support Operation Homefront

You’ve heard me talk about Carnival Cruise in the past. While they are truly one of the best vacation adventures our family has taken they are also an amazing supporter for communities in need.  They recently announced an initiative with Carrie Underwood and Operation Homefront to help raise funds for military families.

During her The Storyteller Tour, Carrie Underwood will treat selected military families, chosen in partnership with Operation Homefront, to personal meet-and-greets 10 different concert appearances. The final stop in the cross-country Honor. Family. Fun. campaign will be New York City, where Carnival, Operation Homefront, and Underwood will treat hundreds of military families to a special concert aboard the new Carnival Vista at the Port of New York on November 4, 2016.

Driving the effort to raise funds for the cause, fans of Underwood, and of the program, will have the opportunity to donate by clicking on the “Donate Now” button on Carnival’s HonorFamilyFun page. Commemorative dog tags will also be available for purchase at merchandise stands at all Storyteller Tour stops as well as on board the fleet of Carnival ships with all proceeds going to Operation Homefront.

In the coming weeks, Carnival will launch a new shipboard military appreciation program. Each ship will host a special event on board to recognize active and retired military personnel and their families and will kick off with a welcome video featuring Carrie Underwood.

Finally, it was also revealed that Carrie Underwood will join the Carnival LIVE! roster of artists in early 2017 with further details to be announced at a later date.

Being miles and miles off shore on a cruise ship is one of the most exciting things to happen for my kids. They absolutely love cruising and have been lucky enough to have experienced it twice now.  I get asked a lot if cruising is truly a kid friendly vacation. Camp Carnival

We were able to register them online so their information was on hand and name tags were ready. When we first boarded we had to hunt done the locations of camp so that when they were ready to go they knew where to go. Shaun was able to come and go as he pleased due to his age. That isn’t the rule but something we allowed him to do. Shae had to be checked in and out by an adult or Sabreena. This is a level of security that I appreciated. Even on the last day the camp counselors were checking out Sign and Sail cards as ID. You can never be too sure!

Camp Carnival is specially designed  with crafts, activities and games for different age groups: 2 to 5 years, 6 to 8 years, and 9 to 11 years. The daily schedules are available each night before we were able to check off all the things the kids wanted to participate in the next day.  This let the whole family plan their day around lounging, activities, spa treatments or even exploring the ports. Shae spent lots of her time working on crafts, playing board games and and painting. Shaun of course spent lots of time playing video game and EPIC rounds of dodge ball.  I was never worried about them having a good time while at camp.  Carnival also offers a Night Owls segment. From 10-12pm they had special activities and movies for the kids so the adults could plan time at the casino, clubs or just alone on the Serenity Lounge. Games and Chess

This was one of the first things we noticed when coming aboard. Rob and Shaun like to play chess and little did we know Shae knew how to play too. The spent lots of time challenging each other and other kids with a game or two. Regular chess in the Library was a great way for Rob and Shae to spend a little quality time together too.

Stage Shows

Shae was called up on stage during the magic show but was so shy she couldn’t participate. During the next show and Hasbro, The Game Show she insisted on sitting farther away from the stage just so she could watch.

2014 disclosureOne of things cruises are known for is the food. The unlimited food can be found not just on the Lido Deck but in the dining room on Carnival CruiseLines. Our recent trip in the Carnival Fantasy showed us that big time.

Within minutes of getting onboard we were on the Lido Deck grabbing some lunch waiting for our stateroom to be ready so we could shed of our 12 hours in the car grossness. The choices were simple; salads, burgers, dogs, chicken tender, veggies and stirfry. Never Go Hungry on @CarnivalCruise #cruisingcarnivalLet’s not forget about the 24 Soft Serve Ice Cream and Frozen Yogurt. That took just a few minutes to get into. It’s one of the things the kids remember them most. Oh and the 24-hour Pizza. The pizza was so good. I’m talking gourmet shop style with a thin chewy crust.

She said she doesn’t even like pizza but was won over when Carnival came up with this recipe with special imported flour from Italy. We ate pizza everyday. It was our nighttime snack when the kids were done with camp and we were done with the Comedy Club. We took a walk to the Lido Deck and stood in long lines waiting for hot fresh pizza and ice cream.

Seaday Brunch was my favorite meal. We actually missed it the first morning I regret that so much. The menu items were a mix of decadent, homestyle and simple dishes. Shae wanted a simple bagel and cream cheese but was brought lox as an accompaniment. Instead of dismissing it she tried and of course liked it. Rob and Shaun were brought oatmeal while Sabreena chose cereal crusted french toast. I opted for an omelet filled with fresh veggies. Dinner was just as indulgent too. Our dining room staff was amazing. Gultekin (Glen), Wahyudi and Jewel anticipated our every need or want and didn’t hesitate to make each meal the best ever.

To say we were doted on is an understatement. Some nights we were just brought appetizers “Glen” thought we would enjoy rather than wait for us to order. Grand Turk Island #CruisingCarnival

We’re in the middle of our Carnival Cruise aboard the Fantasy. I planned on sharing more in the trip sooner but it’s been a very exciting few days with very little down time. Our first stop at Grand Turk Island was anything but busy and on the go.

We spent a couple hours relaxing under palm trees, enjoying frozen drinks from Margaritaville (meet my new Parrothead boyfriend) and swimming in the gorgeous turquoise water. Grand Turk Island #CruisingCarnival Grand Turk Island is nestled in the Atlantic Ocean between South Caicos Islands and Salt Cay Island. Carnival Cruise uses Grand Turk Island as a Port of Call for it’s lush foliage, clear waters and welcoming towns people. Our visit was dotted with smiles from the employees within the Cruise Center and Margaritaville.The soft sands made for a great gathering spot for the kids. We even came prepared with buckets and shovels. When we got to the beach the kids found an instant playmate. On our lounger was a coconut. The kids named her Wanda.

In just a few shorts days we’re heading out for our summer family vacation thanks to Carnival Cruiselines. We aren’t strangers to the cruise but nowhere near the cruise enthusiasts I want to be. Our last cruise was 4 years ago and the kids still talk about it and have been begging to go again since then. Timing couldn’t have been better either; Sabreena graduated high school a few weeks ago. Rob and I will be celebrating our 13th wedding anniversary while at sea and Shae turns 7 a couple weeks after we get back. It’s celebration time all around.

The Carnival Fantasy leaves out of Charleston, South Carolina and headed to the Caribbean. Choose Cruise for Family Friendly Vacation

Lately I’ve been hearing from families if cruises are truly family friendly. One of the biggest worries I hear “Is there going to be stuff for my toddler to do”. I say yes. We brought a toddler on a cruise and she still talks about it, remembers it vividly. My recommendation for a truly family friendly cruise is Carnival Cruise Lines. They are by far one of the most accommodating cruise lines for families out there. The staff goes out of their way to treat everyone like family and you definitely get the biggest bang for your buck when booking versus other cruise lines.

Something for everyone. Kids love mini golf but dad loves comedy while mom enjoys a relaxing massage. Get all of these options and more on board. The newer ships are adding more and more onboard entertainment and activities for every age. Don’t forget about the onboard pools and water parks and arcades.

Camp/Daycare/Youth programs. Send the kids to camp for the day or just a few hours while the adults indulge in some quiet poolside time. Let the teens dance dance dance with new friends at Club O2. Camp Carnival Night Owls(fees apply) is the ship’s newest adventure; giving kids the chance to stay later with organized events when the sun goes down. Camp Carnival is included in the cost of your cruise and runs on every ship in the fleet. Carnival caters to families and has activities and programs designed for kids age 4-months to 17 years old.

Food for every taste. Even the pickiest of eaters are going to find something to eat at one of the many restaurants. 24-hour pizza and room service is also an option for those less than structured meal times. Those with more refined palates can choose sushi, mongolian wok, gourmet Guy Fieri Burgers or signature dining options available everyday.

New sites everyday. How else are you going to be able to hope around to 3-4 different countries in just 1 week’s time. Ports of call are wonderful ways to get a peek at new scenery and experience a different culture even for just a few hours. Beaches, jungles, villages and markets are welcoming sites for tourist activity and shopping and excursions.

Trouble Free. Once you step on the boat there isn’t anything else you need to worry about. Your meals, transportation, entertainment and clean towels are all taken care of. Extras include beverages, casinos and spa treatments but those can be budgeted or left out without affecting your overall experience and satisfaction. Each day you receive an activity sheet for kids and you.  The thinking is done for you.

My kids still talk about the cruise we experienced 2 years ago. They look at pictures, remember the beach excursions and talk about the plethora of food. We were able to spend a great deal of quality time together but each person was also able to enjoy their own time and space and adventures without hampering anyone else’s great time.
